Warning: If you add an alias for a Staff member that has Admin rights, that user will have Admin rights when they switch to your alias, so be careful!

Staff Aliases

 

In Houdini one staff can assume another's role without having to logon as the other staff member. 

You will notice in the upper left hand corner of the main menu a drop down with the staff member’s name. You use this drop-down to select the staff alias you want to use. For example, Jane is a Data Entry Assistant for Barbara. Barbara is pretty busy, and is often out of the office. To have Jane enter time (Event | Task) on Barbara 's behalf, she simply selects Barbara 's name from the drop- down, creates or edits the required records and switches back to her name when done.

Please note, in most cases, it isn't necessary for one staff member to switch to another Staff alias when editing a record.

Please note that this option should be used for consultant/administrative purposes only.

When the Staff Roster appears (title may show as Edit Contacts) select one or more Staff Members and click the “Select Staff” button.

 

You will immediately be returned to the Edit Staff window with the selected Staff Members added to the list. Select the newly added Staff Member as illustrated below.

Now that Barbara has been added as an alias to Jane’s account, use the Data Access check boxes to define Jane’s access rights when she uses Barbara’s alias. 

You can allow reciprocal access e.g. Jane can enter data for Barbara and Barbara can enter data for Jane. Just select Barbara's Staff record and repeat the steps above except add Jane as an Alias for Barbara.

Have Jane logout and back in. When she does she will see Barbara is now added to the Staff Selector drop-down as illustrated below. 

When she selects Barbara as her Alias she can create and edit records as if she was Barbara for billing purposes without ever having to logout. 

IMPORTANT: Although one staff member may use an alias to enter data on another's behalf, all data entry is recorded in the logs under the primary staff member's name. In other words, although Jane can enter data on behalf of Barbara, the logs will show that Jane in fact entered the data while using Barbara’s alias.

Remember that whenever you make security changes the affected Staff Members must logout and back in before the changes will be applied.
