Staff Aliases and Tracking Changes
In Houdini, a staff member is an alias for anyone who enters or accesses data. Every Staff members has a login but may have one or more Aliases. You manage your organization's Staff members and their Aliases via the Organization manager.
The Organization Manager is where you manage staff, classification codes, practice areas, user groups, custom form fields and much more.
Lisa Jones is a secretary for Ben Wolfe and Chris Popper of Wolfe, Popper and Ross PLLC. She has her own login but she is assigned the Staff aliases of Ben Wolfe, Chris Popper and Lisa Jones. When Lisa logs in she can access all her personal data, email, schedules, etc using her Staff name alias of Lisa Jones. In addition to performing her daily tasks she can also effortlessly switch to another staff alias Ben Wolfe or Chris Popper to view or enter data on their behalf.
Lets explore the concept of staff member aliases a little more. Ben Wolfe is a busy guy. Ben does not have time to enter changes to Matters, so he has assigned Lisa to his Alias. He accomplished this by going to the Organization manager selecting his Name and then adding Lisa Jones to his account. He specified that she can only update Matter records and clicked Apply To Lisa Jones and then clicked Save.
When Lisa needs to update one of Bens Matter records she selects the Alias Ben Wolfe.
Although Lisa can change data using Bens Staff name, the data changes are recorded by her login ID, not the staff alias. With Houdini every action a individual performs is carefully tracked and recorded in it
